Responsible AI & Media Policy
We believe in using AI responsibly and transparently. This policy outlines how we incorporate AI into our creative and operational processes while protecting your rights, data, and trust.
Commitment to Transparency
We occasionally use artificial intelligence to draft copy, edit or temporarily generate images, video, and audio, and to analyze aggregated site data. Whenever an asset is produced wholly or substantially by AI, we mark it with an “Created by Artificial Intelligence” tag and replace it with real footage as soon as a suitable original is available. This policy explains the what, why, and how; along with your rights under GDPR, the EU AI Act, and other global standards.
Purpose
This policy sets out how the Rubber Federation (“we,” “our,” “us”) employs artificial-intelligence tools across our public websites and digital channels, and how we safeguard transparency, privacy, and creative integrity for visitors worldwide.
Scope of AI use
We use artificial intelligence tools in a limited and responsible way across our media production and analytics workflows. AI may assist with generating or enhancing images and video; for example, through upscaling, style transfer, or temporarily generating placeholder visuals. Every visual asset produced with the help of AI is reviewed and approved by a human before it’s published.
Text content, such as blog posts, summaries, and metadata, may be drafted with AI assistance but is always edited by a human to ensure accuracy, tone, and inclusivity.
For audio, we occasionally use AI-generated voiceovers or enhancements in podcasts and prototypes. However, all scripts and final audio undergo human quality control before release.
We also use AI to analyze anonymized, aggregated website data to help improve our site’s user experience. Importantly, we do not use AI for automated personal decision-making, profiling, or any process that could significantly affect an individual’s rights.
All uses of AI are carefully supervised, and we remain committed to transparency, accountability, and maintaining the human touch in all final outputs.
Transparency & Labelling
- Assets created wholly or substantially by AI carry an “Created by Artificial Intelligence” badge (icon + alt-text).
- Assets that are only AI-assisted (e.g., color correction) carry an “AI-Enhanced” note in the caption or credits.
- Podcast episodes include a spoken and written disclosure when synthetic voices or AI sound design are present.
Replacement of AI Placeholders
AI-generated media may be published as a temporary stand-in. We commit to replacing placeholders with authentic imagery, footage, or recordings when a high-quality original becomes available, following the same review process.
Data Privacy & Security
- All analytics are performed on aggregated or anonymized data in compliance with GDPR, UK DPA 2018, CCPA/CPRA, and other applicable laws.
- Personal data is never fed directly into generative models.
- We use industry-standard encryption and retain analytics data only as long as necessary for the stated purpose.
Accuracy & Bias Mitigation
- Human reviewers fact-check AI-drafted text and correct any hallucinations or cultural biases.
- We routinely evaluate AI tools for bias and update prompts or models to improve fairness and inclusivity.
Intellectual-Property Safeguards
- We verify licensing on all training data or stock content used in AI workflows.
- If an AI output is later found to infringe third-party IP, we will promptly remove or replace it and, where required, notify affected rights holders.
User Rights & Contact
Visitors may request:
- Confirmation of whether a specific asset is AI-generated or AI-enhanced.
- Access, correction, or deletion of any personal data we hold (see our Privacy Policy).

Policy Updates
We may revise this policy to reflect changes in technology or law (e.g., the phased implementation of the EU AI Act). Material updates will be announced via a site banner and will take effect 30 days after posting.
